How to Build a Contractor Quote Follow-Up System

A repeatable follow-up system in five parts: a single open-quote list, a fixed cadence, pre-written messages, recorded outcomes and a weekly review. No new leads required.

A follow-up system isn't discipline. Discipline is what you use when you don't have a system. What you want is a setup where chasing quotes happens whether or not you feel like it this week.

Part 1: one list of open quotes

Every quote you've sent that hasn't been won or lost goes on one list, with the customer, the value, the date sent and the next follow-up date. If a quote isn't on this list, it doesn't exist — that's the whole discipline requirement.

Part 2: a fixed cadence

DayContactPurpose
0Send quote + thanksConfirm they received it
3Short check-inAnswer questions before they shop around
7Value or reference nudgeRemind them why you
14Availability noteCreate a real reason to decide
21Close-outGet a yes or a no, clear the pipeline

Fixed beats clever. A cadence you follow every time outperforms a smarter one you apply occasionally.

Part 3: pre-written messages

Write each of those five messages once, then reuse them with one specific detail swapped in — the room, the roof section, the plant list. Blank-page paralysis is the single biggest cause of skipped follow-ups, and pre-writing removes it. AI drafting does the same job faster, as long as you edit before sending.

Part 4: recorded outcomes

Every quote ends in won, lost, or no response. Record which. Without outcomes you can't see your close rate, and you'll keep guessing about pricing instead of knowing.

Part 5: a weekly review

Once a week, ten minutes: how many quotes are open, what they're worth in total, which is oldest, and which have no next action. Four numbers. That review is what stops slow leaks turning into a bad quarter.

What it's worth

Quotes sent/monthAverage valueExtra closesAdded revenue
15$4,0001$4,000
30$4,0003$12,000
50$6,0005$30,000

None of that needs a single new lead — it converts work you already quoted.

Automating it

You can run all five parts on paper. Software just makes it survive busy weeks: FollowUpDesk keeps the open-quote list current, applies the cadence automatically, drafts each message in your voice and records outcomes. $29/month flat, unlimited quotes and users, no scheduling module to configure.

Frequently asked questions

How do I build a contractor quote follow-up system?

Five parts: one list of all open quotes, a fixed contact cadence (day 0, 3, 7, 14, 21), pre-written messages, a recorded outcome for every quote, and a ten-minute weekly pipeline review.

How many follow-ups should a contractor send per quote?

Four or five contacts over about three weeks, ending with a close-out message that asks for a yes or no.

What is a quote close-out message?

A short, polite final message asking whether to keep the quote open or close it out. It reliably produces an answer and keeps your pipeline honest.

Can I run a follow-up system without software?

Yes, on paper or in a spreadsheet up to about ten open quotes. Beyond that the reminder side is what fails first, which is where software earns its keep.

Does follow-up actually increase revenue?

It converts leads you already paid for. A contractor sending 30 quotes a month at $4,000 average who closes three extra jobs adds roughly $12,000 in monthly revenue.
